Start with the contract
Identify required policies, limits, additional insureds, waivers, primary and noncontributory language, notice provisions and indemnity. Insurance professionals can address coverage implications; legal counsel should interpret contractual obligations.
Endorsements matter
Additional-insured status normally depends on policy language or an endorsement—not the certificate alone. Confirm the correct legal name, relationship, scope and ongoing/completed operations requirements.
Do not promise what the policy cannot provide
Some requested wording is unavailable, conflicts with the policy or requires carrier approval and premium. Send contract requirements early rather than on the day a lease or franchise agreement must be signed.
Track renewal
Certificates expire with the policy term. Maintain a process for renewal evidence, updated holders and contracts that require changes when limits or carriers change.
